MAUVSA Advance Conference XIV Transfer/Refund Policy
Purpose
In the event that any individual other than the person registered takes the physical place of
the registered attendee, the registration slot will be forfeited immediately and all parties
involved are not permitted to attend MAC XIV. MAUVSA will not be responsible for any
other attendee-related expenses including, but not limited to: transportation expenses,
housing, or other personal costs. *In the unlikely event that MAUVSA should have to cancel
the Annual MAUVSA Advance Conference, attendees will be refunded for the full amount
paid through the original payment method. Upon receiving your refund request, MAUVSA
will contact you to verify your request. Once approved, a refund will be issued within ten
(10) business days. Please do not go through PayPal to request a refund, this will not
expedite the refund process.
Policies for this year are stated below:
● Transfers will be accepted until December 9th, 2025 at 11:59 PM.
● For a full refund, a request must be submitted by December 13th, 2025 at 11:59 PM.
● Beyond this deadline (December 13th), a partial refund request can be submitted and
will be considered up until December 20th, 2025, 11:59 PM.
● Any requests beyond December 20th, 2025 will be reviewed on a case-by-case basis based on
extenuating circumstances.
● Examples of valid extenuating circumstances include
○ Documented serious illness
○ Severe Injury
○ Death of a Family Member or Loved One.
● All ticket purchases and registration tickets are subject to an approval process
conducted by the executive team. Following the approval process, tickets will then
officially belong to the purchaser of the ticket. If a ticket is rejected, then the ticket is
refunded back to the purchaser of the ticket.
REFUND REQUEST
To request a refund, please send an email titled “MAC XIV Refund Request [Your Name]” to
conference.registration@mauvsa.org with your first and last name and the email address you
registered with. Once the conference staff receives your refund request, we will process your
refund and remove your ticket from your account. Once completed, the conference staff will
then send you a confirmation email that they have processed your refund. You should get your
payment back within a few days after the process has gone through.

TRANSFER REQUEST
To request a transfer, please send an email titled “MACXIV Transfer Request [Your Name]” to
conference.registration@mauvsa.org with your first and last name, your five-digit order code,
and the email address you registered with. Include the first and last name and email address of
the person you wish to transfer your ticket to. To help us expedite the process, please CC the
person you wish to transfer your ticket to. Once we receive the confirmation emails from both
parties, the conference staff will email you back with more details on how both parties will
handle the transfer process. If you do not know who to transfer your ticket to, please get in
touch with conference.registration@mauvsa.org and the conference staff will choose a member
of the waitlist to transfer your ticket to.

In addition, please follow the following transfer policies:
● If you are transferring your ticket after it has been approved, your ticket will be
reevaluated for approval under your recipient's name.
● If you are buying the ticket in lieu of another, please transfer your ticket at your earliest
convenience. If your ticket is not transferred within the 72-hour window for our approval
process, we will proceed with our approval process with the ticket under your name. If
your submission does not meet our standards, we will deny approval. Once your ticket
is denied, it will go back into the general pool of tickets.
